Terms and Conditions

Last updated: 1 October 2026

1. About these terms

These terms are a contract between you and Roseworth International School Ltd, a company registered in England and Wales, whose registered office is at Torgersens Chartered Accountants, 8 Causey Buildings, Causey Street, Gosforth, Tyne & Wear, England, NE3 4DL (“we”, “us”). We trade as Roseworth International School. They apply when you book a course with us and when you use our website, online accounts and app.

If you book for a student under 18, you must be their parent or legal guardian, and you accept these terms on their behalf. Our Privacy Policy explains how we use personal information.

2. Courses and who can join

Each course page shows the dates, the ages it is for, what is included and where students stay. Our courses are for students aged 9 and over in the UK and Toronto, and 12 and over elsewhere. Adult courses are for people aged 16 and over.

You must give us accurate information when you book and tell us if anything changes. If you have an online account, keep your sign-in details safe.

3. Booking

To book, contact us or use the booking form where we offer one. We will send you an invoice. Bookings close 14 days before the course starts, unless the course page gives a different closing date. Your place is confirmed when we receive your deposit, or your full payment where no deposit applies.

4. Paying for your course

  • If you book at least nine weeks (63 days) before the course starts, you pay a deposit within 7 days of booking. The deposit is £300 per student unless your invoice says otherwise. The rest of the fee is due six weeks (42 days) before the course starts.
  • If you book later than that, you pay the full fee in one payment. It is due six weeks before the course starts or 7 days after you book, whichever is later, and never later than 3 days before the course starts.
  • Your invoice shows the amounts, the currency and the dates they are due.

You can pay:

  • by bank transfer to one of the accounts on our payment information page. Write the student’s name and the course on the payment so that we can match it. A transfer from abroad can take up to 5 working days to reach us, so please allow for this;
  • online through our payment partner, Flywire, which shows you any transaction fee before you pay.

If we do not receive a payment by the date it is due, we may cancel the booking and offer the place to someone else. Section 6 then applies as if you had cancelled.

5. Changes we make to a course

We will deliver the course as described. Sometimes we need to make reasonable changes, for example to the accommodation, teachers or activities. We will tell you as soon as we can. If we make a major change, or cancel the course, you can choose another course or a full refund of what you have paid.

6. If you cancel

To cancel, email us at info@roseworthinternational.com. We count from the day we receive your email. What you get back depends on how long before the start date you cancel:

  • more than 28 days before the start date: we refund half of the balance you have paid;
  • 28 days or fewer before the start date: the balance is not refundable;
  • the deposit is not refundable if you cancel;
  • once the course has started, nothing is refundable, including for days the student misses or if the student leaves early;
  • if we have already bought the student’s flights, we cannot refund their cost, whatever the reason for the cancellation.

If the student’s visa is refused, send us the refusal letter. We will keep £150 to cover our administration costs and refund the rest of what you have paid, less the cost of any flights we have already bought.

Some courses have a different cancellation period. Where one does, it is shown on your booking. Nothing in these terms affects your legal rights.

We pay refunds by bank transfer. We will email you a secure link to give us the account details, and we may ask you to confirm who you are first. If you paid online through Flywire, we refund you through Flywire.

7. Visas

Where a student needs a visa for the course, we provide an invitation letter and supporting documents. Applying for the visa, and keeping to its conditions, is your responsibility. If the visa is refused, section 6 explains what we refund.

8. Travel insurance

Arranging travel and medical insurance is the responsibility of the parent or legal guardian, or of the student if they are 18 or over. It is not included in the course fee unless the course page says so, and we are not your insurer or insurance adviser.

Every student must be insured for the whole of their trip. We may ask you for the insurer, the policy number and a 24-hour emergency number. A student who travels without insurance does so at the family’s own risk, and the family must pay any medical, repatriation, cancellation or other costs that follow.

We recommend a policy that covers, as a minimum: medical treatment and hospital care in the country of the course, emergency repatriation, cancellation and cutting the trip short, personal liability, and baggage and belongings. Where a course includes medical insurance, you still need cover for everything else. If the student has a medical condition, tell the insurer about it, because an undeclared condition is a common reason for a claim to be refused.

9. Health and medical care

Before the course, tell us about any medical condition, allergy, medication or support need the student has. If a student needs urgent treatment and we cannot reach you, we may agree to treatment on your behalf. You must pay any medical costs that insurance does not cover.

10. Behaviour and safety

Students must follow our rules, including those on safeguarding, attendance and living with a host family. If a student seriously or repeatedly breaks them, we may send the student home. In that case we will not refund the course fee, and you must pay for the journey home and for any adult who travels with the student.

11. Accommodation

Students stay with host families, in residences or in hotels, as the course page describes. We choose the placement, and we may move a student if we need to for their welfare or for practical reasons.

12. Photographs and videos

Our staff take photographs and short videos during lessons and activities to share with parents. We use a student’s picture on our website or in our marketing only if you have given separate consent for that. Saying no does not affect the booking. You can withdraw consent at any time by emailing info@roseworthinternational.com, and we will stop using the pictures within 14 days.

13. Using our website and app

You must not try to get into anyone else’s account or information, copy or scrape our website or app, send spam, upload anything harmful or post anything unlawful. We may suspend or close an account that breaks these rules.

The content of our website and app, including text, pictures, logos and software, belongs to us or to the people who license it to us. You may use it for your own personal use, but not copy, share or change it without our written permission.

14. Events outside our control

We are not responsible for failing to provide a service because of events outside our reasonable control, such as severe weather, strikes, outbreaks of illness or government restrictions. If we cannot run a course for one of these reasons, we will offer you another date or refund what you have paid, less any costs we cannot recover.

15. Our responsibility to you

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit. Apart from that, we are responsible for loss you suffer that is a foreseeable result of our breaking these terms, and not for loss that was not foreseeable. Our total liability is limited to the fees you paid us in the 12 months before the event that led to the claim.

16. Complaints

If you are unhappy with any part of a course, please tell the course leader straight away so that we can try to put it right. If that does not solve the problem, email us at info@roseworthinternational.com and we will look into it.

17. Changes to these terms

We may update these terms from time to time. The version in force when you booked applies to that booking.

18. Which law applies

The law of England and Wales applies to these terms, and you may bring a claim in the courts of England and Wales. If you live in Scotland or Northern Ireland, you may also bring a claim in your local courts.
